League dues: getting started (Pro)

PinPortal can track what every bowler owes, week by week, and who is behind. It works whether you take cash at the desk, checks, cards, or a payment link you already use. No payment processor is required and none is built in.

Turn it on first

Go to League Management › Settings and tick Track league dues. Nothing about dues appears anywhere until you do: no menu, no pages, no emails. If you collect in a cash box and that suits you, leave it off and nothing changes.

A new League Dues item appears in the menu once it is on.

Set up a season

Dues attach to a league season. The Dues page lists the seasons it can already see in your imported scores under Seasons ready to set up. PinPortal has not created any charges for them and will not until you say so.

Click Set up dues and confirm four things:

  • Weekly dues per bowler.
  • Weeks in the season. This is read from your league software, so usually it is already right.
  • First bowling date, also read from your data.
  • Collected from: each bowler individually, or the team captain for the whole team.

You can also add one-time fees such as a USBC sanction fee or shirts. These are charged once per bowler on top of the weekly amount.

Starting partway through a season

Most centers try this out mid-season, having already collected the first few weeks in cash. The setup box asks what to do about weeks already bowled:

  • Bill from week 1. They still owe those weeks and you will collect them.
  • Bill from week 1, but mark the weeks already bowled as settled. Use this if you took that money in cash. PinPortal records a real payment for each bowler marked “settled before dues tracking began”, so your books balance and the history is honest.
  • Only bill from the current week forward. Everything before today is treated as none of PinPortal’s business.

What importing scores does and does not do

Uploading a ZIP publishes scores. It never creates a season, and it never creates a charge, whatever your settings say. Billing somebody is always something you do on purpose.

When new bowlers appear on a roster, use Sync roster on the Dues page to add them. It only ever adds; a bowler who disappears from a roster is usually a typo or a missed week, so PinPortal will not quietly stop billing them on a guess.

Reading the page

The tiles across the top show bowlers, billed, collected, past due, and how many people are behind.

Past due means weeks that have already been bowled and are still unpaid. Weeks still to come are not debt and are never counted there. A bowler in week 3 of a 14-week season is not hundreds of dollars in the hole, and a report that said so would be worse than no report.
