Season announcement emails

PinPortal can send the handful of emails a league year needs, so they are not something you have to remember on top of everything else.

The five notices

  • Registration is open. Sent the day it opens.
  • Registration closes soon. A few days before the deadline, while there is still time to act on it.
  • The season starts soon. A few days before the first night, with the weekly dues figure if you have set one.
  • Position round. The week standings decide the pairings, with a link so teams can see where they sit.
  • Fun night. The week after each position round.

Switching it on

Position rounds work themselves out

You do not have to tell PinPortal when your position rounds are. Nothing in a league export says “this was a position round”, but the pairings give it away: on that week teams are drawn by standing instead of by the schedule, so first plays second, third plays fourth, and so on down the sheet. PinPortal reads your past weeks back against the standings and works out which weeks those were.

Leave the Position round weeks box empty and it uses what it found, showing you the answer underneath the box. A league that holds one at the end of each split gets one notice per round, each with its own fun night the week after, and the fun night that closes a split says so rather than announcing the end of the season.

Type a week number, or several separated by commas, to override it. If PinPortal has nothing to go on, either because the league is new or because it has fewer than eight teams, it falls back to the last week of the season, which is where a single position round nearly always sits.

Eight teams is the cut-off because below it the pattern turns up by chance often enough to be worth nothing: with six teams an ordinary week’s draw lands on it about one time in fifteen.

Like reminders, announcements will not switch on while your domain publishes no SPF record.

Who gets which

The two registration notices are an invitation to sign up and are sent to bowlers who have opted in to hear from you, with their consent recorded and dated.

The season start, position round and fun night notices go to bowlers in that season. That is the league talking to its own members about what is happening on Monday, so no marketing opt-in is involved.

Nothing is sent twice, and nothing arrives late

Each notice goes out once for a season, ever. And anything whose date has already well passed is skipped for good, so switching this on late in the year does not fire off a burst of announcements about things that already happened. A site that was simply offline for a day or two still catches up.
